It’s 7 AM , and the kids aren’t ready for school. You’re busy packing their “bento baon” and making sure everyone gets out the door on time. By the time they leave (or come back sa paghahatid), you’re already exhausted, but your content creation and production to-do list for your business is just getting started.
As a busy parent with a startup business, I understand the unique challenges you face. Juggling family and work can feel like navigating rush-hour traffic. Every moment and task is precious, and staying calm is essential to prevent the whole day from turning into a mess.
What if I told you there’s a way to streamline your content creation and production tasks so you can enjoy some well-deserved me-time after the morning rush?
I’m Charlyn June, an organic content marketing consultant and copywriter with over 7 years of experience, and I’m excited to share some insider secrets to help you be just that.
Let’s dive in, yeah? 👍🏿
1. Understand Your Audience Deeply
This is a promise! ✋ Your content marketing success will have a solid foundation if you have a clear understanding and connection to your audience inside and out. Imagine speaking to someone you don’t know, your messages might fall flat – too generic (walang flavor?). Think of it as preparing a meal for your kids; you need to know their preferences to make and cook something they’ll enjoy (para walang tapon).
How do you Understand Your Target Market?
Start with surveys and feedback forms. Free tools like Google Forms or SurveyMonkey can help you gather helpful content creation and production information directly from your audience. Social media is also a goldmine for understanding your audience. I won’t lie, is more time-consuming, though, but it’s worth it. 👀 Pay close attention to what they’re saying in the comments, what posts they like, and what they love to share.
Is it guaranteed to work?
I once worked with a nutritionist dietician with a specialization in ob-gyne. We conducted a simple survey asking her past, current, and potential patients about their specific challenges and what transformation they’re looking for. The result of this survey led to the creation of a new product we launched for beta testing, and we sold 23 slots in 24 hours. 👉 Take note! When she launched a product she worked so hard for without her market research, she sold 2 units only!
2. Create a Flexible Content Calendar
I’ll bet you know this, but yeah, planning your content ahead of time saves you from the stress of last-minute cramming.
Oops! I’m not going to tell you to create a 6-month calendar, NO (not just yet). But let me emphasize that planning your content helps you “consistently” deliver valuable content to your audience. And with a well-thought-out content plan that serves like a roadmap, your marketing journey is as smooth as driving on the expressway.
Creating a Realistic and Flexible Content Calendar
I know you’ve got a lot on your plate, so let’s keep your content plan and calendar simple and flexible. If you’re more digital, I suggest tools like Google Calendar, Trello, or Asana to organize and create a schedule for your posts.
Make sure to note 🎆 holidays, special events, and any significant dates that your business supports. Also, leave room for spontaneous content or adjustments based on current trends.
I do a hybrid setup – pen and paper plus digital. I write down potential topics to write about on paper as I get to know more about my market and then I run them on ChatGPT for deeper understanding and more ideas. Finally, I would set at least two topics to talk about in a month. Then do that again next month. Sometimes, I fail to realize the plan, but that’s why it’s flexible, right? 🤸🏿♂️
You can always change the topics, reschedule, or readjust. You know your market better than they know themselves – at least that’s how it is for me as a startup business owner like you.
💡 Here’s a kunyari lang secret: I don’t prepare a 6-month or 1-year content calendar. I did that in the past and didn’t materialize because of:
- changes with schedule (as a mom),
- adjusting or expanding my niche (who I help and how I help them),
- plus choosing content that I am really confident and happy to share about.
So, yeah, at least, at the moment, I don’t recommend spending too much time on planning a 6-month content calendar unless you have a team to execute it. I shared more about this on no. 9.
Balancing Content Creation with Other Responsibilities
As a busy parent or entrepreneur, I understand that time is precious for you as it is for me. What I do is dedicate specific blocks of time each week for content creation. On Mondays, after setting my top 3 intentions, I distribute my tasks throughout the 6 days. Yeah, I strictly follow “no work Sundays”.
Batching same category tasks helps me accomplish things in a calmer and more fun environment.
For example, in writing blogs, I’ll set a time block or a specific day for writing blog outlines then schedule another day for writing the blog drafts (or I delegate it). This approach helps me be prepared with what content to post while staying flexible with my schedule. If you have readily available outlines, it’s easier to delegate the next tasks too.
In times I can’t deliver, I remind myself that it’s okay. I love creating content, sharing my knowledge, and communicating with you but if family calls, I’m flexible.🧘 After all, I believe that when I adjust my schedule, it’s the best time for that task to take flight anyway.
3. Handpick and Plant Sustainable Content
Do you have plants? I don’t have much, but I learned that each plant has its own unique purpose. Same with your content. Every piece serves a purpose and is capable of being replanted in different formats.
A blog can be recreated into up to 20 short videos or graphic posts.
A short video can be reproduced as a carousel post. This approach maximizes the love you give to the content from idealizing to producing it.
A client of mine, a kinesiologist, recorded an 18-minute video. I chopped that into 8 or 10 short videos we posted on Instagram and it allowed him to focus on other tasks on his plate instead of recording videos every single time we want to post.
As a writing mentor and accountability buddy, I love hosting webinars on Zoom and Facebook. I would recreate those videos into blog posts and short posts on my Facebook page, saving me a lot of time thinking about what to share. In fact, not everyone in your audience attends your webinar, and not everyone who attended or watched the replay will take away every lesson you shared in one sitting.
As Benjamin Franklin once said, “Tell Me and I Forget; Teach Me and I May Remember.” 🧠
4. Inject Storytelling Techniques
“Your posts are so powerful and enlightening,” says one of my churchmates.
And then I remembered another friend who said, “Your posts are so long! I have no time to read it but I did anyway. Now, I want to write my book too.”
You see, sometimes, we feel as if our online content is not gaining any “results,” but we don’t know how much impact it can serve someone reading it.
People love stories (you do too, right?). 👱♀️
They are engaging, relatable, and memorable. Stories injected into your content can make your brand more human. And if one of your core values or objectives in publishing online content is to be connected with your market, 👆 this is the best way to do that.
How can I apply storytelling in my content?
- Start with what they call a hook – a question that could be running in the minds of your market for so long or a quote from their favorite influences.
- Next, build a narrative around that question or the solution they’re looking for.
Example: If they’re having challenges finding the right investment portfolio for their hard-earned money, then share a story of one of your clients or friends you helped.
- Finally, conclude with a strong call to action. Present the benefits or end results that your previous client or friend received that might compel your potential readers to take the next action.
Example: Do you want to 5x your hard-earned money like [name] did? Let’s do an audit of your finances and goals first and see how we can move forward from there.
👉🏽 My number one tip here is to be authentic.
Share real-life challenges, successes, and even failures. Your audience will appreciate your honesty and be more likely to connect with you. For example, I often share the ups and downs of my journey as a work-from-home mom. The audience who actually resonates with it are busy parents, professionals, and business owners like you. 💫 That’s because we share the same desire to be our best version both in our career and family.
5. Leverage User-Generated Content
User-generated content (UGC) is very powerful in building trust. If you’ve been on TikTok, this is the most common type of content shown on the platform. It shows that real people use and love your products or services. If you put yourself in the shoes of your market, you’ll understand instantly why this also creates connection.
How to Encourage and Curate User-Generated Content
Encourage your customers or clients to share their experiences on social media using a specific hashtag or simply by tagging your business page or handle in their posts.
Make it rewarding for them by running contests or offering incentives. If you repost their content, always ask for permission and give them credit. It’s a basic principle of respect.
🌟 If we feel respected or acknowledged, it boosts our dopamine level, right? It could even inspire us to create more content for the business.
6. Super Simple SEO Strategy for Busy Entrepreneurs
Search Engine Optimization (SEO) can seem daunting, but it doesn’t have to be if you take it one step at a time.
First, focus on a few key areas such as keyword research, on-page optimization, and quality content.
To assist you with keyword research, look at Google Keyword Planner or Ubersuggest to find relevant keywords – these are free (Ubersuggest has a paid plan if you want to enjoy more features).
🚀 Paid Tools to Simplify SEO Tasks
If you want to take it to the next level or have someone working for you, it’s amazing to invest in tools like Yoast SEO (this has a free option too) for WordPress. It helps guide you or your team in optimizing your posts. Other tools like SEMrush and Ahrefs are great for more advanced SEO tasks, but they come with a steeper learning curve.
Easily Integrate SEO into Your Content Creation Process
To cut the overwhelm, start by incorporating keywords naturally into your content. For blogs, add the keywords in titles, meta descriptions, and body.
💡 Here’s a tip: Write for humans first, integrate these SEO changes after.
7. Insert Visuals Wisely
Visual content makes any online content more engaging and easier to digest than text alone. For visual learners, it actually conveys your message quickly and more effectively. Raise your hand if you’re someone like me who gets bored reading a block of text on any gadget!
How to Create and Source High-Quality Visuals
If you have physical products, the most priority is to invest in a 📸 good camera or hire a professional to take high-quality photos and videos. Not ready for that yet? Check out stock photo websites like Unsplash, Pixabay, and Pexels. They offer a wide range of free images. I used these platforms multiple times for my clients and up until now, I do use them.
For enhancing the photos and videos, my favorite as of this moment is Canva and CapCut. I subscribed for a Canva Pro account without any question because I love creating eye-catching graphics and I don’t like that part when you’re on a free account and then you’re ready to download and Canva says 🙍🏽♀️ “you have used a paid feature”, lol!
My client has a CapCut Pro account so I am enjoying amazing features on this platform too. It makes the task easier and more fun. Yeah, content creation and production can actually be joyful!
How to Enhance Your Message with your Visuals
Ensure your photos and videos align with your brand story, tone, and message and not distract your audience from it.
Remember, you’re creating a content creation and distribution strategy that:
- connects with your potential market,
- makes you stand out from the crowd, and then
- guides your market until they avail your product or service.
👌🏾 You don’t have to go with the standards – BE DIFFERENT. Your brand or business is unique so BE IT.
8. Measure and Analyze Performance
I remember someone saying “you can’t improve what you don’t measure.” Sino na nga ba ang nagsabi nun? Business owners and brands get too focused on creating and producing converting content and then they get curious why it’s not ACTUALLY converting.
Especially when you’re still starting out and you’re too busy with other tasks, tracking your content’s performance is NOT something to be put in the “FOR LATER” folder. It can be the most boring and tedious part of the content marketing strategy but it helps you understand what works and what doesn’t, allowing you to EVENTUALLY SAVE TIME AND ENERGY.
Simplify Monitoring your Key Metrics
✍🏼 First off, what’s your main goal for your content creation and distribution strategy?
For example, if you want to increase your sales, you may want to focus on metrics like most engaging posts, traffic sources, and conversion rates.
Tools for Measuring Content Success
Google Analytics and/or social media insights provide valuable data for the sample I shared above.
Google Analytics helps monitor traffic sources and website page or post activities (which of your posts are most read, how long people stay on your website, etc.).
Social media platforms have built-in analytics tools which are helpful in identifying what types of content mostly resonate with your audience.
You may also use third-party tools like Buffer and Hootsuite (I used these for some clients in the past and it prevented me from working graveyard shifts) or newer ones like Sprout Social, Sendible, and others to manage and analyze your social media efforts.
9. Stay Consistent - The MOST Controversial Strategy!
✅ Consistency doesn’t necessarily mean EVERY SINGLE DAY unless your intention is to build a habit.
Publishing consistent content builds trust and keeps your audience looking forward to your next. It shows that you’re committed to providing value. However, it doesn’t necessarily mean you keep posting even if the topic is already out of your radar.
Consistency is still coupled with the awareness about your 📊 statistics which brings us back to monitoring your metrics. And of course, 📌 don’t forget this too – consistency is aligned with your brand’s message.
- Are you creating and publishing content to impress your viewers only?
- Are you mainly doing this for the businesses you help?
- Or are you posting content as a means of brand or personal development?
Create a consistent content creation and distribution strategy that brings joy to you and your business, your market, or the businesses you help.
The Busy Schedule Content Plan
❗️ Create a content calendar BUT YOU DON’T HAVE TO STICK TO IT.
I know, it’s not what the experts say. The content calendar strategy may work for some but may not work for others, that’s why.
I am one of the “others.”
In a day, I have an average of 6 hats to wear and I thought it’s the best way for me to carve out some me-time. So, I created editorial calendars multiple times, I even hired help to realize it. Guess what? It still didn’t materialize and I shared some of the factors on No. 2 earlier.
Anyway, that’s just the tip of the iceberg in terms of the testing phases I’ve experienced in the past in terms of content creation and distribution.
Here’s what’s working for me now, but still, I’m ❌ not promising it will work for you except it’s just less time-consuming and more sustainable.
- Generate Potential Topics to Publish based on market research, key metrics, and your bliss state (every six weeks, monthly, or quarterly)
- Set an intention and goal each month and schedule tasks accordingly. I do weekly scheduling and I stay flexible as I always follow my bliss.
- Batch-create your content depending on your current situation. Since I’m working with multiple clients, an example of this is my Canva Days or Draft Days. Canva days are obviously for creating graphics or short videos and Draft days are for writing drafts. Ang witty no? LOL!
Well, batch creating for me can sometimes mean working for just one client per day.
In content creation and distribution, this can also be working on one social media platform per day. Do you… intentionally observe your flow and see what works for you and your business. 🙂
Conclusion - Content Creation for Business Owners
To wrap up this comprehensive 3000-word guide, it’s clear that content marketing holds ❌ no HIDDEN secrets. Its true power lies in executing a content marketing plan that works for your current schedule. When done right, yes, it does transform your business into its next version.
Among the strategies we’ve explored, leveraging user-generated content stands out to me and I’m looking forward to practicing and adapting more of this myself. Not only does it save time, but it also fosters a strong sense of community around your brand.
How about you, which of these are you ready to put into action?
